Free TOIL tracker (Excel)
A simple spreadsheet for time off in lieu. Log the hours earned and taken; per-person balances total up automatically so nobody loses track of what they’re owed — or owes back.
What’s inside
- • Log tab — one row per TOIL earned or taken, in hours, with a note.
- • Balances tab — earned, taken and remaining totalled per person (SUMIF).
- • A Read me tab pointing to a sample TOIL policy.
TOIL and holiday in one place
A spreadsheet works, but TOIL and annual leave live in separate files and someone has to keep both current. Rotaleave tracks leave in hours and minutes, so banked and taken time sit alongside holiday balances. Work out hours earned with the TOIL calculator, or read what TOIL is and how to run it.
Common questions
How does the TOIL tracker work?
Add a row to the Log tab each time someone earns or takes time off in lieu, in hours. The Balances tab totals earned, taken and the remaining balance per person automatically using SUMIF.
What accrual rate should I use?
That’s your call — 1:1 is most common, with 1.5:1 or 2:1 sometimes used for weekends or call-outs. Record the hours after applying your rate. Our TOIL calculator can do that maths for you.
Is TOIL legally required?
No, but if you offer it you should document the rules — the accrual rate, how to request it, and any deadline to use it. See our TOIL guide for a sample policy.
