Switching from WhosOff
WhosOff is a long-running UK leave planner, priced per user with no free plan. Rotaleave does leave too, adds a rota and clocking in, and is free for teams of 10 or fewer.
30 days free, full access, no card. Free forever for 10 or fewer.
What a small team pays
WhosOff’s calculator charges £17.50 a month for any team of 1 to 10 staff. On Rotaleave those teams pay £0, with the rota and clock-in included. Here is how it looks at other sizes, before VAT.
| Feature | Rotaleave | WhosOff |
|---|---|---|
| 10 people | £0 | £17.50/month (the same price for any team of 1 to 10) |
| 15 people | £10/month | £25.75/month |
| 25 people | £20/month | £41.50/month |
WhosOff prices from the price calculator on whosoff.com/pricing, in GBP with no document storage, checked October 2026. Its FAQ says prices start from £0.95 per user per month, and VAT is added where applicable. Rotaleave: free for 10 or fewer, then £5/month + £1 per person over 10, plus VAT where applicable.

Where WhosOff is better
WhosOff has been running since at least 2005 and says more than 2,500 companies use it. It offers multi-factor sign-in and single sign-on with Azure AD, Okta and Google Workspace; Rotaleave has neither yet. Its Staff Hub keeps employment records, documents and training, which Rotaleave does not. It tracks overtime as well as TOIL, and its UK team offers free hands-on help moving your data in.
Rotaleave is the better fit when you plan shifts as well as holidays, when you want clocking in and timesheets in the same account, or when your team is 10 people or fewer and you would rather pay nothing than £17.50 a month.
How to move from WhosOff
There is no WhosOff importer. The staff CSV import brings your people across instead; past leave and overtime stay in WhosOff.
1
Export your staff list from WhosOff
WhosOff says any view can be exported to CSV or Excel. Export your staff list, and download any leave and overtime reports you want to keep, before you close your account.
2
Fill in the Rotaleave staff template
Download the staff CSV template from Rotaleave and copy your people across: name, email, role, start date, annual allowance, department, team and working days. One row per person.
3
Preview, then import
Upload the file under Settings → Data → Import / Migrate. The preview lists who will be created and flags any row with a problem. Nothing is saved until you click Import.
4
Build a rota and invite the team
Set working-hours templates, plan your first week on the rota grid and set up clocking in if you want it. Invite everyone when you are ready to switch over.

WhosOff switching questions
How much does WhosOff cost for a small team?
WhosOff’s pricing FAQ says it starts from £0.95 per user per month. But its price calculator, checked October 2026, shows £17.50 a month for any team of 1 to 10 staff, £25.75 for 15 and £41.50 for 25, with VAT added where applicable. Rotaleave is £0 for 10 or fewer, £10 a month for 15 and £20 a month for 25, plus VAT where applicable.
Is there a WhosOff importer in Rotaleave?
No. We have found no published description of the columns in WhosOff’s exports, so there is nothing reliable to build an importer against. Use the staff CSV import instead: it sets up people, roles, start dates, allowances, departments, teams and working days. Past leave stays in WhosOff, so download the reports you need first. If you want past leave brought across, contact us and we will talk it through.
Does WhosOff include a staff rota?
No rota, shift planning, clocking in or timesheets appear on WhosOff’s features page, checked October 2026. It covers leave, overtime and TOIL, staff records and reports. Rotaleave puts a rota and clock-in in the same account as leave, on from the start, so approved holiday shows in each person’s row as you plan shifts.
What happens to hours-based allowances when switching from WhosOff?
In WhosOff a person’s allowance is in days or hours. WhosOff’s own help says switching someone between the two removes their leave and overtime data, and asks you to download a report first. In Rotaleave each person’s allowance unit is days or hours too, but changing it converts the figures and keeps their bookings. Holiday can be booked in 15-minute steps.
Does Rotaleave have an HR records hub like WhosOff?
No. WhosOff’s Staff Hub holds employment records, salary history, documents and training. Rotaleave keeps the details that leave, the rota and clocking in need, such as roles, departments, allowances and working patterns, but it does not store documents or training records. If you need those, WhosOff does more.
Can we try Rotaleave before cancelling WhosOff?
Yes. Rotaleave’s 30-day free trial needs no card and has no limit on team size, so you can import your staff list and run both side by side. WhosOff says it is rolling monthly with no cancellation fees. Download your WhosOff leave and overtime reports before you close the account.
