Free staff rota template (Excel)
A simple weekly shift rota — your team down the side, Monday to Sunday across the top. Type each shift as start–end times or a quick code, and keep everyone on the same page.
What’s inside
- • Weekly rota tab — name, role and a Mon–Sun grid, plus a total-hours column.
- • Shift-code key — OFF, annual leave, sick, training.
- • A Read me tab with quick instructions.
Where a rota spreadsheet falls down
Print it out and it’s stale the moment someone swaps a shift — and it can’t warn you when a booking leaves a day short. Rotaleave assigns shifts, emails staff on changes, and shows cover gaps before they bite, with leave and rota in one place — see rota scheduling.
Common questions
What’s in the rota template?
A weekly grid — one row per person, a column for each day Mon–Sun — where you enter each shift as start–end times or a code (OFF, A/L, sick, training), plus a total-hours column and a key.
Does it check for clashes or cover gaps?
No — a spreadsheet can’t. It’s fine for a small, stable team. Once you need clash detection, minimum-cover warnings and staff notifications, that’s where dedicated rota software helps.
Is it free?
Yes — download and use it freely, no sign-up.
